Exhibitor Rules and Regulations

Payment

Payment in full must accompany the Exhibitor’s Application and  Conference Contract. Applications will not be accepted and processed unless full payment is received by the specified deadline.

Space Assignments

Final booth assignments will be the responsibility of the Galvanizers Association staff.

Installation and Dismantling

Exhibitors will have access to the exhibit hall beginning Monday, March 26, 2022 at 9:00am.  All booths must be completely installed by 4:00pm and ready for opening at 6:00pm.  The exhibitor agrees not to dismantle or begin packaging before the final closing of the exhibit hall. All exhibits must be dismantled immediately following the closing of the exhibit hall Monday at 10:00pm and all materials must be removed by midnight.

Cancellation

The application for exhibit space, the notice of space assignment by the Galvanizers Association staff, and the full payment of rental charges together constitute a contract for the right to use the space. Written cancellations postmarked by February 1, 2022, will be honored with a full refund, less a $50 processing fee. Written cancellations postmarked by February 27, 2022, will receive a 50% refund. No refunds will be issued after February 27, 2022.

Official Exhibit Decorator

After registration each paid exhibitor with reserved booth space will receive a  service kit from the official exhibit decorator. This kit contains forms for additional service requests such as computer hook-ups, telephone lines, electrical needs, special equipment, furniture rental, shipping instructions, and material handling rates. All electrical orders must be made with the decorator prior to the conference. Please Note: The exhibition area is fully carpeted.  Conference theme colors are blue and black.

Contract

The application and contract for exhibit space shall be considered a binding agreement between the exhibitor and the Galvanizers Association, subject to the rules and regulations assigned by the Galvanizers Association staff.

Liability

The Galvanizers Association and its staff have no liability to any exhibitor for any personal injury, death, or damage to property (including display area) occurring and/or arising from action of the exhibitor, its agents, employees, and business invitees. Exhibitor   shall be fully responsible to pay for any and all damages to property owned by The Peabody Hotel, its owners or managers which result from any act or omission of Exhibitor. Exhibitor agrees to defend, indemnify and hold harmless, The Peabody Hotel, its owners, managers, officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from Exhibitor’s use of the property.  Exhibitor’s liability shall include all losses, costs, damages, or expenses arising from, out of, or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its agents, employees, and business invitees which arise from or out of the Exhibitor’s occupancy and use of the exhibition premises or any part thereof. Furthermore in making application for booth space, agrees to protect, indemnify, and hold harmless Galvanizers Association, its staff; its members, and their staffs; and the official exhibit decorator from any and all claims, liability, damages, or demands which may arise from or be asserted in connection with the foregoing undertaking and responsibilities of the exhibitor.

Freight

Package storage and delivery for the Exposition should be arranged with Alliance Exposition.

Insurance

It shall be the responsibility of each exhibitor to maintain insurance coverage against injury to persons or damage to or loss of property, or to meet its obligations under this agreement, in such amounts as the exhibitor shall deem adequate.

Restrictions

The subletting, assignment or apportionment of the whole or any part of the exhibitor’s space to anyone other than the registered exhibitor is prohibited. The use of space outside the booth area assigned to the exhibitor by Galvanizing Association conference staff is prohibited. All demonstrations or interviews must be confined to the limits of the exhibit booth space. Aisles must be kept clear. Courtesy to other exhibitors is expected.

Compliance with State Laws and Local Ordinances

Exhibitors are expected to observe the applicable laws of the United States, the State of South Carolina, and the City of Myrtle Beach, including, but not limited to, tax laws, local fire and safety ordinances and regulations.

Endorsement

Exhibitors must refrain from exhibiting products in any way that implies an endorsement by the Galvanizers Association.

Literature

Exhibitors’ opportunities to present materials are within the exhibit hall only. Exhibitors are requested to present such opportunities to attendees in a manner that does not interfere with the operations of other exhibitors. All demonstrations and displays of exhibitor products are limited to the exhibit hall. There will be no promotional books, pamphlets, papers or other items on tables for meal functions or in common areas.

Rights of Show Management

Galvanizers Association reserves the right to rearrange the floor, relocate any exhibit and remove any exhibit that does not comply with established rules. All exposed areas in a display must be draped in conference colors to ensure the attractiveness of the Exhibit Hall. Show management reserves the right to cover unsightly areas and will submit charges to the exhibitor. The Galvanizers Association reserves the right to approve or disapprove any application to exhibit at its discretion. If it is necessary to cancel the Galvanizers Association Conference and Exposition prior to the scheduled opening, due to any causes beyond the control of the Galvanizers Association, including, but not limited to, pandemic related shutdowns, damage or destruction of the Exhibit Hall, labor strikes or weather- related hazards, the Galvanizers Association may retain as much of the payment for exhibit space as is necessary to cover expenses incurred up to the time of said emergency. Galvanizers Association respectfully asks the full cooperation of the exhibitors. All points not covered are subject to the decision of Galvanizers Association Executive Director.
